The 3 Critical Physical Documents Every Expat Needs Before Flying Out of Vietnam

Do not board your departure flight without original, stamped copies of these three legal records from your employer.

The 3 Critical Physical Documents Every Expat Needs Before Flying Out of Vietnam

If today is your last day at the office in Vietnam, do not leave until you have these three pieces of paper in your hands.

Not scans. Not promises that "HR will email them next week." Physical, stamped originals.

Every week, I get messages from expats sitting in Singapore, Sydney, or London trying to claim a $10,000 to $20,000 social insurance payout from Vietnam. And half of them are completely stuck because they walked out of their Saigon or Hanoi office missing one single document.

Once you leave the country, chasing an ex-employer across time zones for replacement paperwork is an uphill battle.

Here is your essential final-day checklist:

  • Your Blue Social Insurance Book (Sổ BHXH) with all loose insert pages.

This is not just the blue cover booklet. Inside, there must be the loose verification sheets (tờ rời chốt sổ) printed directly by the Social Security Administration. These pages certify every single month your company paid into your fund. Make sure the dates match your actual tenure and that the final month has been officially closed.

  • The Official Decision on Contract Termination (Quyết định thôi việc).

This must be on official company letterhead, signed by the legal representative, and stamped with the company's physical red circular seal. Without this paper, the government treats your employment as active. No official termination proof means zero lump-sum payout.

  • Proof of Work Permit Cancellation or Expiry.

The authorities need statutory proof that your legal authorization to work in Vietnam has ended. That means either a formal notice of work permit revocation from the Department of Labour (DOLISA) or your original expired work permit.

Put these three documents into a secure folder. Keep them in your carry-on bag, not inside a shipping container that takes two months to cross the ocean.

With these three items in hand, claiming your money is clean and predictable, whether you process it before your flight or authorise a licensed proxy to handle the filing remotely while you are already back home.

Missing one of them? Tell your HR team you need it before you sign your final exit clearance.

Leaving Vietnam this month and want to make sure your exit paperwork is complete?

Drop me a DM with a quick photo of what HR gave you. I will check your stamps and tell you if your file is ready in five minutes.
